Update Costs Inquiry List View

The Update Costs inquiry is used to review Item and/or Lot costs. From here users can updated costs and drill down to cost history.

 This inquiry also contains columns for each Attribute that is set up for the 'Items' attribute type, 'Production Batches' attribute type, and the 'Warehouse Lots' attribute type. Additionally, this inquiry also contains columns for each Lot Certification with a certification 'Type' of "Item & Site". Attributes and Lot Certifications are not automatically included in the default view. Because these attributes and lot certifications are user defined, they are not included in the help documentation.

GL Period Activity

Used to limit the list of Lots that are returned in the inquiry, to only those that had either a beginning balance or activity within the GL Period specified.

If entered, this must be the format of [GL Period]-[GL Year] (e.g., 05-2022).

Include

Provided a way to limit the list of Lots that are returned. The lookup contains the following values:

  • Lots with any balance - selected by default

  • Lots with Available Balance

  • Lot Status - Closed

  • Costing Status - Open

  • Costing Status - Closed

Item

This is a multi-select lookup that defaults to blank (All) and is not required. Selecting nothing assumes you want all records returned.

The lookup contains a list of all Items in the Items master file.

Lot Owner

 This is a multi-select lookup that defaults to blank (All) and is not required. Selecting nothing assumes you want all records returned.

The lookup contains a list of all Lot Owners.

Mass Update

  • Lot Properties

    • Costing Status: A single-select lookup that defaults to "(No Change)", but also has the options “Open” and “Closed” that assigns the selected status to selected/filtered Inventory Lots when Apply is clicked.

  • Set Base Costs

    • Update Method: A single-select lookup that defaults to "(No Change)", but also has the options “Increment Base” and “New Base” that either updates or sets the Base Cost to the selected/filtered Inventory Lots when Apply is clicked.

    • Cost Rate: A numeric textbox to set the Cost Rate to the selected/filtered Inventory Lots when Apply is clicked.

    • Market Rate: A numeric textbox to set the Market Rate to the selected/filtered Inventory Lots when Apply is clicked.

    • Reason Code: A single-select lookup that defaults to blank, but also has the options from the the values configured for Lot Cost Adjustment reason codes in the Reason Codes Master File (Company > Setup > Reason Codes). This is not required to set or update costs to lots.

  • Add Cost Layers 

    • Effective Date: A date picker that defaults to "(No Change)". Assigns the chosen Effective Date for the Cost Layer to selected/filtered Inventory Lots when Apply is clicked. 

    • Cost Rate: A numeric textbox to set the cost layer amount for the Cost Rate to the selected/filtered Inventory Lots when Apply is clicked.

    • Market Rate: A numeric textbox to set the cost layer amount for the Market Rate to the selected/filtered Inventory Lots when Apply is clicked.

    • Reason Code: A single-select lookup that defaults to blank, but also has the options from the the values configured for Lot Cost Adjustment reason codes in the Reason Codes Master File (Company > Setup > Reason Codes). This is not required to set or update costs to lots.

  • Update Costs from Other Costs

    • Effective Date: A date picker that defaults to "(No Change)". Assigns the chosen Effective Date to update the costs to selected/filtered Inventory Lots when Apply is clicked. 

    • Source Cost: A single-select lookup that defaults to "(No Change)", but also has the options “Cost Rate” and “Market Rate” that allows users to select either the Actual or Market rate, which will be used to apply to the Destination Cost for the selected/filtered Inventory Lots when 'Apply' is clicked.

    • Destination Cost: A single-select lookup that defaults to "(No Change)", but also has the options “Cost Rate” and “Market Rate” that allows users to select the cost rate that the Source Cost will be used to apply to the selected/filtered Inventory Lots when 'Apply' is clicked.

    • Cost Update Method: A single-select lookup that defaults to "(No Change)", but also has the options “Source Cost”, “Source Cost + Amount”, and “Source Cost + Percent”.

    • Amount: A numeric textbox to specify the additional amount or percent to add to the Source Cost when using either the “Source Cost + Amount” or “Source Cost + Percent”.

  • Post Costs to GL

    • Post Costs Through GL Period: A Textbox to enter the GL Period to which the costs should be posted to the General Ledger. This should be entered in the following format: MM-YYYY.

    • Post Costs to GL: A single-select standard lookup that defaults to "(No Change)", but also has options for "Yes" and "No" that determines if costs will post to the General Ledger for the selected/filtered Inventory Lots when Apply is clicked.

 

More Actions

 

  • IQ: Cost History: opens the cost history for the selected record.

  • IQ: Item History: opens the Item History for the selected record.

  • IQ: Lot History: opens the Lot History for the selected record.

Identifies whether the Base cost was assigned manually, from a transaction, from the Item, or from a BOM.

Batch Comment

 This is not required and is always editable from the 'Batch Comment' field on the Properties tab of the Production Batch record view.

Batch Date

This can be edited from the 'Batch Date' field on the Properties tab of the Production Batch Record View.

Batch Site ID

This is required and is always editable from the 'Batch Site ID' field on the Properties tab of the Production Batch Record View.

BOM ID

Displays the BOM ID of the Bill of Material record. Clicking on the link opens the corresponding Bill of Materials Record View. This field is only populated if the lot costs have been retrieved from a BOM record. This is not editable.

Cost Rate

This is a calculated field that can only be edited by adding/editing a 'Cost Rate Layer' or adding/updating a 'Cost Rate'. 

Cost Rate - Base

This is a calculated field that can only be edited by adding/editing a 'Cost Rate'.

Cost Rate - Layers

Cost UOM

 This is required for Costing and can be edited from the 'Cost UOM' property on the 'Advanced Properties' tab of the Item Record View.

Costing Method

Identifies which cost bucket is used to post to the General Ledger. This is a required and can be edited from the 'Costing Method' property on the 'Advanced Properties' tab of the Item Record View.

Costing Status

 

This can be edited from the 'Costing Status' property on the Mass Update dialog.

Country of Origin

This can be edited from the 'Country of Origin' field on the 'Properties' tab of the Production Batch Record View.

Database Field: ERPx_IMProductionLot.CountryOfOrigin

Days Old

Displays the calculated age (in days) of the Production Batch. It is calculated as the (Current Date) - [Batch Date]. This can be edited by changing the 'Batch Date' field on the Properties tab of the Production Batch record view. This is not stored in the database.

Days Until Expiration

 This is a calculated field that is not stored in the database.

Expiration Date

 This is editable from the Production Batch Record View.

Inventory Balance Sheet Account

This can be edited from the 'Inventory Balance Sheet' field on the 'GL Accounts' tab of the Item Record View.

Is Lot Expired

A Yes/No field to identify if a Lot is expired.

  • This will display as "Yes" For Lots with a 'Batch Expiration Date' that is <= the current date.

  • This will display as "No" for Lots without a 'Batch Expiration Date' or for Lots with a 'Batch Expiration Date' that is >= the current date. 

This is a calculated field that is not stored in the database.

Item Class ID

Item: Description

 The 'Item ID' and/or the 'Item Description' can be edited from the 'Properties' tab of the Item Record View.

Last Effective Cost Change

 This can only be changed by adding a Base Cost or adding/removing a Cost Layer.

LotSK

Identified the SK value of the Lot that is stored in the Database. This is for information only; it is not editable.

On Hand As Of

Identifies the date that the On Hand Balances are being displayed as of. This column is only populated when the inquiry is run with a value in the "GL Period Activity" Search Option Parameter, and it will be the ending date of the GL Period Specified. This is a calculated field that is not stored in the database. 

On Hand Units

 This column is only populated when the inquiry is run with a value in the "GL Period Activity" Search Option Parameter.

If the item's 'Manage Items By' value is set to:

  • "Units Only" or "Units and Weight", this field will be populated.

  • "Weight Only", this field will be blank

On Hand Weight

 This column is only populated when the inquiry is run with a value in the "GL Period Activity" Search Option Parameter.

If the item's 'Manage Items By' value is set to:

  • "Units Only" or "Units and Weight", this field will be populated.

  • "Weight Only", this field will be blank

Owner

 This cannot be edited, ownership for an existing Lot can only be changed via a Transfer Transaction.

Production Batch

 This can be edited from the 'Production Batch' field on the Properties tab of the Production Batch Record View. 

Database Field: ERPx_IMProductionLot.ProductionLotID

Received From

Identifies the name of the Vendor, Fisherman, or Grower that the product was received from. If there is only one 'Received From' identified on the Production Batch, the name will be displayed. If there is more than one 'Received from' identified on the Production Batch, the word "Multiple" will be displayed. This can be edited from the 'Rec. From' header field on the Inventory Receipt record view before the transaction is posted or from the Production Batch Record View at any time.

Site ID

Displays the Site ID for the Site where the inventory balances are stored. This is always editable from the Sites Record View.
