The purpose of this inquiry is to display each transaction that affects the balance of an inventory lot. From the inquiry, users may open the corresponding inventory transaction Record View or Sales Order Record View. This inquiry displays transactions that have been posted. This inquiry can be accessed from both the Inquiries page or from the Item Balances Inquiry and Lot Balances Inquiry List Views by selecting a one or more line item(s) and clicking "View Lot History" toolbar icon. 

(lightbulb) This inquiry also contains columns for each Attribute that is set up for the 'Items' attribute type and the 'Production Batches' attribute type. Additionally, this inquiry also contains columns for each Lot Certification with a certification 'Type' of "Item & Site". Item attributes, Production Batch attributes and Lot Certifications are automatically included in the default view. However, because these attributes and lot certifications are user defined, they are not included in the help documentation.

Search OptionsDescription
Include

A lookup to assign one or more conditions you want included in your search. This lookup contains: This is a multi-select standard lookup that is not required to return results. It defaults to "Beginning Balances".

This lookup contains the values "Voids" and "Beginning Balances".

Item

Used to select one or more Items. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Item IDs are the unique identifier for Items. 

The lookup contains a list of all Items in the Items master file.

Item Class

Used to select one or more Item Classes. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Item Classes are used to identify default values that will be applied to new Inventory Items and to group Items together for reporting purposes.

The lookup contains a list of all Item Classes.

Lot Owner

Used to select one or more inventory Owners. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Owners are used to identify who owns the inventory. Additional Owners are typically added for companies that do custom processing and need to keep that inventory separate from their own. Owner is one of the 5 components that make up a unique Inventory Lot and it is required on all Inventory Lots.

The lookup contains a list of all Lot Owners.

Search

A non-required text box that defaults to blank and is used to search across multiple fields. When the page is 'Refreshed', the data returned will be limited by what was included in the Search box (in addition to any other Search Options).

The Search field can be used to search across the following fields:

  • Item Description
  • Item ID

  • Production Batch
  • Site ID

  • Warehouse Lot 
Site

Used to select one or more Sites. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Sites represent Plants, Warehouses, Distribution Centers, or virtual objects that are used to store and/or maintain perpetual inventory balances.

The lookup contains a list of all active Sites.

Trans Class

Used to select one or more Transaction Classes. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Transaction Classes are used to categorize transactions within transaction types and assign specific default values and business rules for each.

The lookup contains a list of all Transaction Classes, SO Shipment and SO Return.

Trans Date

Used to select the date the transaction was created. This is a date range control that allows users to select a single date or a range of dates. This is not required to return results and defaults with a date range of the past 30 days.

Trans Type

Used to select one or more Transaction Types. This is a multi-select standard lookup that is not required to return results. It defaults as blank.

Transaction Types are used to differentiate unique types transactions within the system. Transactions with the same Transaction Type share the same record view pages and business rules. Transaction Types can be further classified using Transaction Classes. Every transaction in the system is assigned a Transaction Type.

The lookup contains a list of all Inventory Transaction Types configured for the company.

Saved Search Options

Displays the saved searches lookup and related icons. This tool allows users to select previously saved search options, create a new set of search options, save changes to existing search options, forget/delete saved search options and/or assign a saved search option as the default for the page. Once changes are made to the search options, the user can click the Save Options icon and save the changes. Saving search options will also save the preferences for 'Auto Refresh on Open' and 'Auto Hide Filters'. The new search option can also be set as the default.  Default searches can be removed by clicking the 'Set as Default' button again when the current default search is selected.

Page Detail

Toolbar IconsDescription
Column Filter Show/Hide Toggles between displaying and hiding a filter row in the grid under the column headers. The filter row will be displayed by default if the Quick Column Filter is also implemented in the page. When enabled, this will allow users to type in text to filter by a specific column.
Excel Exports the contents of the grid to an Excel file that will automatically download. The contents that export are those that are visible to the user. Therefore, if the user has filtered the view, or excluded columns, only the contents in the grid will be exported. 
Favorites Clicking on the star icon when it is an outline, adds the page to the 'My Shortcuts' tab and fills in the star. Clicking on the star icon when it is filled in (solid color), removes the page from the 'My Shortcuts' tab and returns the icon to an outline. 

(lightbulb) Users must log out and back in before the pages will be visible in the 'My Shortcuts' tab.

Group By Show/Hide Toggles between displaying and hiding a row in the grid above the column headers to enable grouping by one or more column(s). Once displayed, users may drag and drop column headers to group by a specific column. Once the grid is grouped by a column(s), a subtotal footer row will display in the grouping for columns that have a page footer total. 
Help Opens the online WIKI help page for the current page. 
Quick Filter
Error rendering macro 'excerpt-include' : No link could be created for 'Quick Filter'.
Refresh

 Re-queries the contents of the grid/page based on the Search Options or the default values for grids that do not support Search Options. 

(lightbulb) This ONLY re-queries the contents of columns that are currently visible, if you add a new column the contents will be empty until you click 'Refresh' again.

Saved Column Layouts Displays the column layout lookup and related icons. This tool allows users to select a previously saved layout, create a new layout, save changes to a layout, forget/delete a layout and/or assign a saved layout as the default for the page. Once changes are made to the layout, such as columns are added or removed, the user can click the Save Layout icon and save the changes to the column layout. The visibility of the Filter Row is also saved with a saved layout. The new layout can also be set as the default. This is useful for creating specific views to separate master files or transaction types (i.e. Invoice specific vs. Credit Memo specific).  Default layouts can be removed by clicking the 'Set as Default' button again when the current default layout is selected.  

Please note that existing saved grid layouts will display the Filter Row as hidden by default.

View

Displays a drop down menu of related drill-through inquiries. When an inquiry is selected, it opens in a separate tab. The list of options includes: 

  • Order - Opens the Sales Order Record View, in a new tab, for a selected record with a Transaction Type of: SO Shipment or SO Return.
  • Transaction - Opens the appropriate inventory transaction record view, in a new tab, for a selected record with a Transaction Type of: Adjustment, Production, Receipt, Transfer, or Transfer Receipt.
  • Shipment Details - Opens the Shipment Record View, in a new tab, for a selected record with a Transaction Type of: SO Shipment, Transfer, or Transfer Receipt.
  • Item - Opens the Item Master File Record View, in a new tab, for a selected record. 
  • Warehouse Lot - Opens the Warehouse Lot List View, in a new tab, filtered for the selected record's Warehouse Lot. 
  • Production Batch - Opens the Production Batch Record View, in a new tab, filtered for the selected record's Production Batch.
FieldsDescription
Batch Date

Displays the date when the production batch was produced. This can be edited from the 'Batch Date' field on the Properties tab of the Production Batch Record View. 

Database Field: ERPx_IMProductionLot.DateProduced

BOL

Displays the BOL ID entered on the transaction. This field is specific to SO Shipments and Inventory Transfers. This can be edited from the 'BOL' field on the 'Shipments Tab of the Sales Order Record View (for SO Shipments) or the 'Home' tab of the Transfer Transaction Record View (for Transfers) while the transactions are in a Status of New.

Database Field: ERPx_IMTransactionHeader.BOL

Corrected From

Displays the Transaction ID of the source transaction that was corrected. This field only displays a value if the transaction has been corrected. This is not editable.

Cost Group

Displays the cost group attached to the item. This can be edited from the 'Cost Group' property on the 'Properties' tab of the Item Record View.

Cost Groups are used to associate items that share the same cost model.

Date

Displays the date of the inventory transaction. This can be edited from the 'Shipped' field on the 'Shipments Tab of the Sales Order Record View (for SO Shipments), from the  'Date' field on the 'Home' tab of the Transaction Record View for Adjustment, Production and Receipt transactions while the transaction is in a Status of New, and from the 'Transferred On' field on the 'Home' tab of the Transaction Record View for a Transfer transactions while the transaction is in a Status of New

Item Attribute Class

Identifies the Attribute Class configured for the Item. This can be edited from the 'Item Attribute Class' selected on the Properties tab of the Item Record View.

Attribute Classes are assigned to master files to control which Attributes are visible, and/or required, to records within the master file.

Item: Description

Identifies the Item, displayed as Item ID: Item Description.  The 'Item ID' field is not editable. The Item Description can be edited from the 'Item Description' property on the 'Properties' tab of the Item Record View.

Item IDs are the unique identifier for Items.

GL Date

Identifies the date the transaction posted (or will post) to the general ledger.  This can be edited from the 'GL Date' field on the 'Properties' tab of the Transaction Record View while the transaction is in a Status of New.

Owner

Identifies the Lot Owner of the Inventory Lot. This can be edited from the 'Owner' field on the Items grid of the Transaction Record View while the transaction is in a Status of New.

Owners are used to identify who owns the inventory. Additional Owners are typically added for companies that do custom processing and need to keep that inventory separate from their own. Owner is one of the 5 components that make up a unique Inventory Lot and it is required on all Inventory Lots.

Production Batch

Identifies the Production Batch ID of the Lot. Clicking on the link opens the Production Batch Record View. This can be edited from the 'Production Batch' field on the Properties tab of the Production Batch Record View. 

A Production Batch is the identifier that contains all the Traceability information (Production Batch Properties and Attributes) for Lot Tracked Items. This number stays attached to the product, even if it is transferred to another Site. Production Batch is one of the 5 components that make up a unique Inventory Lot and it is required when entering a transaction line for a Lot Tracked Item. This value will be blank and/or disabled for all non-Lot Tracked items on screens that include a Production Batch field.

An Inventory Lot is the most granular level that item balances (quantities of Units and/or Weight) are stored within NorthScope. Inventory Lots are created for all Inventory Items assigned an Item Type of “Inventory', regardless of whether the Item is Lot Tracked (i.e., balances are maintained by Production Batch) or the Site containing the product is 'Warehouse Lot' tracked or not. 

An Inventory Lot is unique by combination of:

  • Item: The Item ID (required for all Inventory Lots)
  • SiteThe Site/Warehouse that contains the inventory (required for all Inventory Lots)
  • Production BatchThe date code or other traceability reference that stays with product and never changes. It is required for Items with a 'Lot Tracked' property of "Yes" and will be blank for Items with a 'Lot Tracked' property of "No"
  • Warehouse LotThe identifier or location within a Site/Warehouse, this is most typically used for 3rd party distribution sites. It is required for 'Inventory Lots' in a Warehouse Lot tracked Site and will be blank for 'Inventory Lots' in a non Warehouse Lot tracked Site. This has nothing to do with whether the Item is 'Lot Tracked' or not. 
  • Owner: Identifies who owns the product. This is required for all Inventory Lots.

Database Field: ERPx_IMProductionLot.ProductionLotID

Production Batch Site

Displays the Site name and ID where the production batch was produced. This can be edited from the 'Production Batch Site' field on the Properties tab of the Production Batch Record View. 

Database Fields: ERPx_MFSite.SiteID, ERPx_MFSite.SiteName, ERPx_IMProductionLot.ManufactureSiteSK

Quantity

Displays the unit quantity or weight quantity of the item in the default reporting UOM. This can be edited from the 'Units' field or 'Weight' field of a line item on the Items grid of the Transaction Record View while the transaction is in a Status of New. This can also be edited from the 'Units' field or 'Weight' field of a line item on the Items grid of the Sales Order Record View while the transaction is in a Status of New. Once the transaction is no longer in a Status of New, this cannot be edited.

Database Fields: ERPx_IMTransactionDetail.EffectOnInventoryUnits or ERPx_IMTransactionDetail.EffectOnInventoryWeight

Note: For companies that want unposted Sales Orders to update the On Hand balances as soon as they are marked as Shipped, they can set the "Include Shipped & Approved Sales Orders in On Hand balances" Inventory Preference to "Yes".

Reference

Identifies the Reference entered for the transaction.  This can be edited from the 'Reference' field of the 'Home' tab of the Transaction Record View while the transaction is in a Status of New.

Database Field: ERPx_IMTransactionHeader.Reference

Site

Displays the Site ID for the Site where the transaction occurred. This comes from the 'Site' field on the 'Home' tab of the Transaction Record View. This is not editable after the transaction has been saved.

Traded

Specifies if the Production Batch has been traded. Displays "Yes" if the 'Traded' field has been set to "Yes" on the Production Batch Record or blank if the field has been set to "No". This can be edited from the 'Traded' field on the Properties tab of the Production Batch record view. 

Database Field: ERPx_IMProductionLot.Traded

Transaction

Identifies the unique Transaction ID for each transaction. This value is system generated when the transaction is created and is not editable.

Transaction numbers are system assigned IDs to differentiate unique transactions. Transaction ID's are unique by the unique combination of 'Transaction Type' + 'Transaction Class'.

Database Field: ERPx_IMTransactionHeader.TransactionID

Transaction Type

Identifies the Transaction Type for each transaction. This comes from the 'Transaction Type' property on the 'Properties' tab of the Transaction Class Record View for the associated transaction. This is not editable after the Transaction Class has been saved.

Transaction Types are used to differentiate unique types transactions within the system. Transactions with the same Transaction Type share the same record view pages and business rules. Transaction Types can be further classified using Transaction Classes. Every transaction in the system is assigned a Transaction Type.

(lightbulb) The SO Shipment and SO Return transaction types only displays when the corresponding invoice is posted.

Units UOM

Identifies the default inventory unit of measure that the units are stored in (boxes, Bags, Cases, Totes, etc.) for the item. This field can be edited from the 'Inventory Unit UOM' property on the 'Properties' tab of the Item Record View.

A UOM is a quantity used as a standard of measurement. It identifies how much makes up "1" of the measurement. Examples include Bag, Box, Each, Kg, Lb, ext.

Database Field: ERPx_IMTransactionDetail.EffectOnInventoryUnitsUOMSK

Units

Displays the On Hand units of the item at the corresponding Site or Inventory Lot. This can be edited from the 'Units' field of the line item in the Items grid on the Transaction Record View while the transaction is in a Status of New.

UOM

Identifies the default reporting unit of measure that the weight (Lbs, Kg, Oz, Ton, etc.) or units (boxes, Bags, Cases, Totes, etc.) of the item is stored in. This can be edited from the 'Default Reporting UOM' property on the 'Properties' tab of the Item Record View.

UOM Schedule

Identifies the UOM Schedule that is used to determine what Units of Measure are to be used for specific items that are bought, sold and manufactured as well as the conversions for those Units of Measure.
This field comes from the 'UOM Schedule' property on the 'Properties' tab of the Item Record View and is not editable.

Void Date

Displays the date the transaction was voided. This field comes from the 'Void/Correct GL Date' field for a transaction line on the Transaction More Actions Record View and is not editable after the void action has been processed.

Warehouse Lot

Identifies the Warehouse Lot to which the selected item or inventory lot belongs. This value defaults from the 'Warehouse Lot' value specified on the Transaction Record View that created the Inventory Lot. This can be edited from the 'Warehouse Lot' field on the Warehouse Lots List View.

A Warehouse Lot (aka Storage Lot) is used by 3rd party distribution sites to identify a unique quantity of product they are storing. Unlike a Production Batch number that never changes, Warehouse Lots will change as product is transferred to other Sites and/or transferred into exiting Warehouse Lots within the same Site. The 'Warehouse Lot' is one of the 5 components that make up a unique Inventory Lot and it is required when entering a transaction line on a transaction for a Warehouse Lot Tracked Site. This value will be blank and/or disabled for all non-Warehouse Lot Tracked Sites on screens that include a Warehouse Lot field.

Weight

Displays the On Hand weight of the item at the corresponding Site or Inventory Lot. This can be edited from the 'Weight' field of the line item in the Items grid on the Transaction Record View while the transaction is in a Status of New.

Weight UOM
