Voiding AR Transactions (UG)

Overview

NorthScope allows users to void posted Cash Receipts, Sales Transactions and Credit Transactions. All types of transactions can be voided from the Customer History Inquiry. When a transaction is voided, any applications assigned to the transactions are unapplied and the customer balance is updated accordingly.

Voiding a transaction

The Customer History Inquiry can be accessed from the Customer Balances list view and also from the Sales Order – Reports & Inquiries page. On the Customer Balances list view, select the customer and click View from the toolbar and select Transactions. This opens the Customer History Inquiry filtered for the specific customer. If the inquiry is opened from the Reports & Inquiries page, transactions are displayed for all customers.

Search and select the transaction that is being voided and click 'Void' from the header toolbar. Only one transaction can be voided at a time. Clicking the Void toolbar icon opens a Void Transaction page with the following header section details:

  • Message: Displays an informational message, if the transaction cannot be voided and also the following message 'All applications will be unapplied' when the transaction has applications and the transaction can be voided.
  • Posted Date: Displays the date the transaction was posted.
  • Transaction: Displays the transaction ID of the transaction that is being voided.
  • Void Date: Allows users to enter a void date. The date entered must reside within an open fiscal period and the date cannot be an earlier date than the Posted Date.

If the transaction has any applications, the grid section displays the transaction details of these transactions. All applications are unapplied when the transaction is Voided.

Select ‘Void’ from the toolbar to void the transaction. This does the following:

  1. All fields and Void toolbar icon become disabled.
  2. All applications are unapplied.
  3. A duplicate transaction is created with status Void and all amounts set to 0.
  4. The status of the original transaction is changed to Replaced.
  5. Updates the Customer Balance accordingly.
  6. If the voided transaction, is a customer sale transaction with applied cash receipt(s), the cash receipts are added to the Apply Documents list view, where the cash receipt(s) can be reapplied towards receivables transactions.
  7. Journal entries are reversed.

Note: Replaced transactions are not displayed in the Customer History Inquiry by default, but replaced status transactions can be added to the view from Inquiry Criteria.
