Customer Balances List View

The purpose of the Customer Balances page is to show current balances for all Customers. The balances are displayed for posted transactions, unapplied Receipts & Credits, and Open transactions. From here, users can navigate to the Payment Receipts and Apply Documents pages as well as open the detail inquiries showing all the transactions, Payment Applications, and Invoice Applications for the selected Customer.

Apply DocumentsOpens the Unapplied Receivable Documents List View to see the list of all open (not fully applied) Payment Receipts, Returns, negative Invoices, negative Price Adjustments, and negative Quick Sale transactions across the entire company. The Unapplied Receivable Documents List View will open filtered based on the selected Customer(s). If no Customer was selected, all unapplied transactions for all Customers will be displayed. From here users can select a single transaction and apply it.
ExcelExport the contents of the list view to an Excel file that will automatically download. The contents that export are those that are visible to the user. Therefore, if the user has filtered the view only the filtered contents will be exported. 
Favorites Clicking on the star icon when it is an outline, adds the page to the 'My Shortcuts' tab and fills in the star. Clicking on the star icon when it is filled in (solid color), removes the page from the 'My Shortcuts' tab and returns the icon to an outline. 

(lightbulb) Users must log out and back in before the pages will be visible in the 'My Shortcuts' tab.

Grid LayoutOpens the Saved Grid Layout menu that allows the user to select another saved layout, create a new layout, save changes to a layout, or assign a saved layout as the default for the page. Once changes are made to a grid, such as columns are added or removed, the user can click the Saved Grid Layout icon and save the changes to the grid layout and name the new layout. The new layout can also be set as the default, instead of the System View. This is useful for creating specific views to separate master files or transaction types (i.e. Invoice specific vs. Credit Memo specific).

(lightbulb) The bolded view is the default view, which will determine the view will automatically display in when opened. 

HelpOpens the online WIKI help page for the current page. 

(lightbulb) This icon is only visible on pages that are documented in the online help.

Inquiry Criteria

Opens Inquiry Criteria window where users can define the following criteria: 

  • Hide Customers where all balances are 0.00: A Yes/No lookup that allows you to show all Customers or only show Customers that have a balance in at least one of the columns. This defaults to Yes
  • Customer Class: A multi-select lookup to select one or more Customer Classes. This defaults to All. 
RefreshRe-queries the contents of the grid/page based on the Inquiry Criteria parameters or the default parameters for grids that do not support Inquiry Criteria. 
View

Allows users to select the detail inquiry they want. The options include:

  • Transactions - Opens the 'Customer Activity Inquiry' to show the list of all transactions for the selected Customer.
  • Payment Applications - Opens the 'AR Transaction & Check Applications' inquiry to shows the list of Payment Receipts, Returns, negative Invoices, negative Price Adjustments, and negative Quick Sale transactions and the transactions they were applied to. 
  • Invoice Applications - Opens the 'AR Transaction & Check Applications' inquiry to shows the list of Invoices, positive Price Adjustments, and Quick Sale transactions and the payment transactions that were applied to them.

Customer

A hyperlink displaying the Customer Name (Customer ID). Clicking on the link opens the record view of the corresponding customer. This field is not editable.

Customer Class

A non-editable text box to identify the class the corresponding customer belongs to.

Customer ID

A hyperlink displaying the unique identifier of the customerClicking on the link opens the record view of the corresponding customer. This field is not editable.

Linked Database Field: ERPx_ARCustomer.CustomerID

Customer Name

A hyperlink displaying the Customer Name. Clicking on the link opens the record view of the corresponding customer. This field is not editable.

Linked Database Field: ERPx_ARCustomer.CustomerName

Default Accounts Receivable Account

A non-editable text box to identify the Accounts Receivable account setup for the corresponding customer. 

Linked Database Field: ERPx_ARCustomer.GLARAccountSK

Net Balance

A non-editable text box to display the outstanding balance for the corresponding customer.  This is calculated as [Posted Balance]+[Open Transactions]-([Unapplied Receipts]+[Unapplied Credits/Returns]). 

This is a calculated amount and not linked to a Database Field. 

Net Balance Home Currency

A non-editable text box to display the outstanding balance in the home currency for the corresponding customer.  This is calculated as [Posted Balance]+[Open Transactions]-([Unapplied Receipts]+[Unapplied Credits/Returns]). 

This is a calculated amount and not linked to a Database Field. 

Open Transactions

A non-editable text box to display the total amount from any sales transactions saved in a status less than 'Ready to Post' or 'Posted'.  The following transactions are included in this total: Quick Sale, Payment Receipt, Sales Order, Price Adjustment and Return.

This is a calculated amount and not linked to a Database Field. 

Posted Balance

A non-editable text box to display the total balance from any sales transactions saved in a status of 'Ready to Post' or 'Posted'.  The following transactions are included in this total: Quick Sales (positive or negative), Payment Receipts, Sales Orders (positive or negative), Price Adjustments (positive or negative) and Returns.

This is a calculated amount and not linked to a Database Field. 

Posted Balance Home Currency

A non-editable text box to display the total balance in the home currency from any sales transactions saved in a status of 'Ready to Post' or 'Posted'. The following transactions are included in this total: Quick Sales (positive or negative), Payment Receipts, Sales Orders (positive or negative), Price Adjustments (positive or negative) and Returns.

This is a calculated amount and not linked to a Database Field. 

Transaction Currency

A non-editable text box to display the Currency ID of the customer from the sales transactions. 

This is a calculated amount and not linked to a Database Field. 

Unapplied Credits/Returns

A non-editable text box to display the total balance of all the credits and returns in a posted status that have not yet been applied to a transaction. The following transactions are included in this total:  Quick Sales (negative), Sales Orders (negative), Price Adjustments (negative) and Returns.

This is a calculated amount and not linked to a Database Field. 

Unapplied Receipts

A non-editable text box to display the total balance of all the payment receipts in a posted status that have not yet been applied to a transaction. The following transactions are included in this total: Payment Receipts. 

This is a calculated amount and not linked to a Database Field. 

Unpaid Invoices

A non-editable text box to display the total balance of all the posted sales transactions that have not had a payment applied yet and therefore remain as an outstanding amount owed by the customer. The following transactions are included in this total: Quick Sales (positive), Sales Orders (positive) and Price Adjustments (positive).

This is a calculated amount and not linked to a Database Field.
