Auto Apply

 

Delete

Deletes the record. When clicked, a warning prompt will appear: "Are you sure you want to delete this record?". Click "OK" to confirm, or "Cancel" to return without deleting. 

Grid Layout

Clicking the Saved Grid Layout icon allows the user to save a new view for the grid layout. Once changes are made to a grid, such as columns are added or removed, the user can click the Saved Grid Layout icon and save the changes to the grid layout and name the new layout. The new layout can also be set as the default, instead of the System View. This is useful for creating specific views for vendors that have high volumes of activity, to separate transaction types (i.e. Invoice specific vs. Credit Memo specific), etc.

 The bolded view is the default view, which will determine the view will automatically display in when opened.

Description

Account Type

Displays the type of account the cash receipt is pertaining to. This field displays a drop-down menu of available account types to receive payments from - i.e. Vendor, and is editable while the transaction is 'New' before an amount has been applied to any transactions.

Amount

Displays the amount of the cash receipt. This field displays a text box that defaults to '0.00' is editable while the transaction is 'New'. This field is required to save the transaction and must be greater than 0.

Checkbook

Identifies the checkbook the cash receipt pertains to. This field displays a drop-down menu of all active checkbooks in the host system and is editable while the transaction is 'New'. This field is required to save the transaction and must be assigned a cash account for the transaction to be approved or posted.

Date

Identifies the date of the cash receipt. This field displays a text box that defaults to today's date and is editable while the transaction is 'New'. This field is required to save the transaction and the date must reside within a valid fiscal period as determined by the host system in order to approve or post the transaction.

Description

A description field for additional information and notes regarding the cash receipt. This field displays a text box that supports up to 60 characters, defaults to blank and is editable throughout all transaction statuses. This field is not required.

Received From

Identifies from whom the payment was received. This field displays a drop-down menu of all active vendors with a vendor type of 'Fisherman', 'Tender', 'Fisherman & Tender,' or 'Loan' that do not have a Master Vendor account assigned and is editable while the transaction is 'New' and none of the received amount has been applied to transactions. This field is required to save the transaction.

Reference #

Identifies the reference number pertaining to the cash receipt. This field displays a text box that supports up to 50 characters, defaults to blank and is editable throughout all transaction statuses. This field is not required.

Remaining

Identifies the total remaining amount from the payment that can still be applied. This field is read-only and auto-calculates as amounts are applied to transactions or removed from transactions. This field is never editable by the user.

Status

Identifies the status of the cash receipt. This field displays a drop-down menu that defaults to 'New' with the options 'New', 'Approved', and 'Ready to Post'. This field is editable until the transaction is set to 'Ready to Post' and saved, at which point the Status field becomes disabled.

Type

Identifies the type of cash receipt - either cash, check, or card. This field displays a drop-down menu and is editable while the transaction is 'New'.

Applied Amount

Displays the amount of the cash receipt being applied to the line item transaction. This field displays a text box that defaults to '0.00'. This field is editable while the transaction is 'New' and the value(s) entered must not exceed the sum total of the received amount on the Cash Receipt. This field is not required.

Credit Account

Identifies the credit account to which the payment for that line item will be applied.

Description

Offers a description of the corresponding line item.

Doc No

Offers a unique identifier for the specific line item.

Original Amount

Identifies the original amount due for the specific line item transaction.

Remaining Amount

Identifies the remaining amount owed for the specific line item transaction.

Select

Displays a check box allowing the user to select specific line items. When a line item's check box is selected, the maximum available received amount will be applied to that transaction.

Transaction

Identifies the transaction number.

Trans Date

Identifies the date of the transaction.

Trans Type

Identifies the type of transaction.

Unapplied Amount

Identifies the amount that has yet to be applied to the transaction.
